Kenexa has designed and managed the implementation of Applicant Tracking and Talent Management Systems for some of the largest and most respected companies in the world. End-to-End Implementation Services
Kenexa uses a structured, scalable implementation methodology and project management programs. Kenexa’s 5-step methodology is a proven framework that begins with a standard project plan and set of process phases which are customized to the unique needs of our clients. Kenexa’s experience, coupled with our proven methodology, provides clients the opportunity to evaluate, design, and implement talent management workflow elements that reflect both industry and Kenexa best practices. Details about our approach are outlined below.

Phase I: DISCOVERY

During Discovery, Kenexa works with clients to develop project charters (project goals/ project team), we survey our client’s existing users to establish an understanding of existing and “as desired” processes, draft organizational process maps, and create concept project plans.
For the duration of the implementation period, our clients are assigned a Kenexa Implementation Consultant (IC) who will lead the effort to configure the system per the designed process flows. The IC (required) and an assigned on site Project Manager (optional) will serve as the main contacts throughout the system implementation process.

Phase II: DESIGN

Recruitment Process Planning (re-engineering)
An important component of a successful implementation is having a clear, well-defined, and documented process in place. In order to ensure that this occurs, Kenexa provides clients with technical consulting services to help map an organization’s “as is” and “desired” processes. Kenexa facilitates an on-site session, where we will work with clients to review current staffing goals, business practices, as well as overall processes. We carefully help clients design and develop their desired or “future-state” processes. We will identify current gaps and organizational implementation issues that will need to be addressed now and in the future. This session is typically one-day in length, but based on our initial assessment of an organization’s current state, we will determine the appropriate session length. As a result of this work, a fully documented process map will be created. This map will be the “blueprint” for the configuration of the solution.

Phase III: CONFIGURATION

Database and System Configuration
Database configuration is performed by Kenexa pursuant to client requirements. During this period, the client teams work in parallel and in conjunction with Kenexa’s resources to make decisions and provide the data and other information required for Kenexa to configure the system. As elements of the system are built, the client will be provided access to the Staging environment in order to review and validate what has been developed.

Phase IV: TESTING

Site Testing
Kenexa and the client’s project team accesses the Staging environment where they can test what has been configured against the established workflows. During the Staging testing period, clients are responsible for obtaining any final corporate or legal approval required within their companies with respect to any regions where the system will be deployed. Kenexa works in parallel with our clients to make any changes that result in conjunction with these reviews.

Phase V: Rollout (GO LIVE)

Production Activation and Evaluation
In the last phase of the project, the documentation, training, and other remaining elements of the change management plan are executed. At the same time, Kenexa builds the production environment. Once clients are trained and ready, we activate the Production site and the organization “goes live.”  We evaluate and validate process and system decisions made during implementation to ensure our clients are achieving maximum value from the investment on an ongoing basis.  
Kenexa offers a variety of training services and we work with our clients throughout the project to create an effective training plan. Our Training consultants work with clients to provide consulting to support the best use of resources. Typically we build a plan that employs the use of “train-the-trainer” methodology, where clients would recruit key representatives from each region or business area to participate in a week-long training course with one of our expert trainers. This training includes process education on how to train others on our products. These individuals then go out and train the groups they represent. While this is the most cost-effective method, Kenexa will often augment this solution with our own on-site training as needed.
Optional Services
Integrations with HRIS (or other systems) is an optional service. Typically, work on integrations starts once the fields and configuration options are finalized. After staging sign-off, integrations may be mapped, built, configured, and tested. These activities typically take between 2 and 4 months after Staging is signed off and require engineering resources from both the client side and Kenexa. Therefore, some clients decide to “go live” prior to integrations being completed, while others prefer to wait until the integrations are all in place.
