Kenexa Talent Management solutions are designed to work within each organisation’s existing environment, and include the integration capabilities necessary to ensure that companies fully leverage existing HR infrastructures as a strategic tool. When implementing Kenexa Talent Management systems, established solutions can become an enhanced part of new applicant tracking and performance management processes.

The Kenexa XML integration offering provides flexible, secure, real-time integration by interacting with any system that can send and receive XML over the Internet. This includes virtually any HRIS system, such as SAP or Oracle, or any assessment supplier, such as background check, and skills assessment. Clients can choose to send and receive XML through either a web service or HTTPS posts. Some Kenexa clients send and receive data directly from their HRIS. Others use middleware such as Vitria, Webmethods, SeeBeyond, or use more homegrown solutions to facilitate data transfer.

Kenexa also offers a non-XML integration capability for systems that do not support XML. Each engagement includes remote Kenexa Engineering/Technical Consulting support in addition to system configuration and testing. Specific scope and pricing are based on a mutually agreed upon Statement of Work.

 

XML Integration
The XML integration offering provides bi-directional, real-time transfer of data between Kenexa and HRIS systems. This can include:

  • Importing HRIS requisition or foundation data and codes into Kenexa ATS requisitions
  • Sending requisition and candidate data from the Kenexa ATS to a HRIS to facilitate new hire onboarding

Kenexa sends and receives XML requests and responses (through either a web service or HTTPS posts) that are triggered by internal system events, usually candidate or requisition status changes. XML requests and responses are sent using proprietary software and a built-in HRIS XML parser or a third-party middleware. The data is sent to and received from the client’s messaging system designed for this purpose.

All XML requests and responses exchanged between the Kenexa system and its clients can be encrypted with either AES or RSA encryption. If the client chooses to exchange data with the Kenexa system via a web service, Kenexa can also configure security policies at the integration type and subscription level.

The integration model is divided into a series of discreet integration types. Every service offering, such as assessments, background checks, job posting or candidate export for onboarding, can be defined as its own integration type. The following integration types are available:

Requisition Import
Requisition data can be imported into the Kenexa ATS from an external system. Requisition data is any information that is in a job requisition such as the job description or job requisition number.

Foundation Data Import
Foundation Data can be imported from an external system into the Kenexa system. Foundation Data is comprised of a client’s HRIS source codes, department codes, location codes and any additional information in drop-down lists.

Job Code Default Data Import
Job codes and their associated requisition information can be imported from an external system into Kenexa Recruiter® BrassRing.

User Data Import
Kenexa system user information can be imported from an external system. User Data is any data that applies to Kenexa system users, such as name, username or password, that is maintained in a client’s HRIS.

Candidate Data Import
Candidate information can be imported from an external system into the Kenexa solution. Candidate Data is any data that applies to a candidate, such as name, address, previous employers, education or skills, that is maintained in a client’s HRIS or on a Kenexa system form.

Candidate Data Export
Candidate information can be exported from the Kenexa solution to an external system. Candidate data is any data that applies to a candidate, such as name, address, previous employers, education or skills, that is maintained in a client’s HRIS or on a Kenexa system form.

HR Status Update
HR status information can be imported from an external system. In the Kenexa ATS, an HR status defines the step at which a candidate is in the hiring process.

Forms Import
Data can be imported into a pre-existing Kenexa form from a client-initiated XML feed. Forms Data is data that directly corresponds to the client’s pre-existing custom candidate forms within the Kenexa system.

Field Association Import
Associations among fields can be exported from an external system to the Kenexa system. Field associations allow the selection of an option in a parent field to determine the options that are available in one or more subsequent child fields, such as on a requisition form or search page.

Additional Integration Services
Kenexa offers two additional services in conjunction with XML integration:

  • Client-side implementation consulting: The Kenexa Engineering Services Group provides the client-side configuration necessary to enable the exchange of data between the client’s HRIS system and the Kenexa system.
  • HRIS readiness consulting: This offering is designed to facilitate the exploration of the customer’s expectations and preparedness for engaging in an XML integration with Kenexa.

 

Non-XML Integration
Kenexa also offers a non-XML integration capability for systems that do not support XML. Non-XML integration provides three types of delimited-format data transfer between Kenexa and an external system:

  • Requisition Import into the system manually using the Kenexa ATS UI
  • Candidate Forms Data Import into the system manually using the Kenexa ATS UI
  • Candidate/Requisition/Transactional Data Export to an FTP site
